Planning a wedding comes with a lot of moving pieces, and one of the biggest questions couples have is: Which wedding vendors do we actually need and when should we book them?
Every wedding is so different, and your vendor team will depend on your venue, guest count, budget, priorities, and overall vision. But for most weddings, there are a few core wedding vendors you’ll want to start thinking about early on in the wedding planning process.
Here’s a simple breakdown of who does what and when I recommend booking them.
Wedding Planner & Designer
What they do:
A wedding planner helps guide the overall planning process, from vendor recommendations and logistics to design, timelines, budget and wedding-day execution.
When to book:
12 – 18+ months before your wedding is usually the best time.
If you’re planning to hire a full-service or partial planner, I recommend booking them as early as possible so they can help with major decisions before contracts are signed.
Wedding Venue
What they do:
Your venue sets the foundation for your wedding day and often determines your date, guest count, layout, rental needs, and overall design direction.
When to book:
15 – 18+ months before
Popular San Diego wedding venues can book well in advance, especially for Saturdays during peak wedding season so I’d recommend booking as soon as possible.
Photographer
What they do:
Your photographer captures the candid moments, details, portraits, and emotions of your wedding day.
When to book:
10 – 15 months before
If photography is one of your top priorities, I would book even earlier. Photographers typically only take one wedding per weekend, so favorites can fill quickly.
Videographer
What they do:
A videographer captures your wedding day in motion, including vows, speeches, reactions, and all of those little moments you may miss during the day.
When to book:
9 – 12 months before
Videography is typically booked later than photography, but if you already know you want it, don’t wait too long. This vendor is not a “must” as social media content creators have been on the rise in recent years but most couples end up really happy they booked this vendor.
Florist
What they do:
Your florist brings the visual design to life through bouquets, ceremony installations, centerpieces, reception florals, and other floral details. They also typically bring all your candles for the evening, including tabletop candles and floor candles.
When to book:
10 – 12 months before
If flowers are a major part of your design or you’re planning a highly floral heavy wedding, booking earlier gives you more options.
Caterer
What they do:
Your caterer manages your food services and may also provide staffing, rentals, bar service, and other reception essentials such as plates, silverware etc, depending on the company.
When to book:
9 – 12 months before
Some venues have in-house catering or preferred vendor requirements, so this is something to confirm before you start reaching out.
DJ or Live Band
What they do:
Your entertainment vendor manages the music and overall energy of your wedding day. It’s important to note that DJ’s handle announcements, introductions, and timeline cues for processional and recessional.
When to book:
8 – 10 months before
Bands generally need to be booked earlier than DJs because availability can be more limited.
Hair & Makeup
What they do:
Your beauty team handles wedding-day hair and makeup for you and, depending on your plans, your wedding party or family members.
When to book:
8 – 12 months before
If you have a larger wedding party or a specific artist you love, book sooner rather than later as many high-end luxury makeup artists book up to 24 months in advance.
Rentals
What they do:
Rental companies provide items such as tables, chairs, linens, glassware, flatware, lounge furniture, bars, and specialty décor.
When to book:
6 – 10 months before
You don’t have to finalize every rental immediately, but reserving major items early can help protect availability early on if you know you really want something specific.
Stationery
What they do:
Your stationery designer can create save-the-dates, invitations, menus, place cards, signage, and other paper goods.
When to book:
6 – 10 months before
Save-the-dates are typically sent well before invitations, so this timeline can vary depending on whether you’re planning custom stationery. It is best to send out Invitations 3 months prior to the wedding day and save-the-dates 10 – 12 months out.
Wedding Cake or Desserts
What they do:
Your baker creates your wedding cake or dessert display and coordinates flavor, design, delivery, and setup.
When to book:
6 – 8 months before
Officiant
What they do:
Your officiant leads your ceremony and helps make sure the ceremony itself feels personal, organized, and meaningful.
When to book:
6 – 9 months before
If a friend or family member is officiating, make sure they understand the legal requirements and ceremony responsibilities well before the wedding. Some venues require them to carry a COI so make sure to check your venues contracts.
Transportation
What they do:
Transportation companies help move you, your wedding party, and your guests between hotels, ceremony locations, and reception venues.
When to book:
6 – 8 months before
This is especially important if your venue has limited parking or if guests are traveling from out of state for a destination wedding.
Which Vendors Should You Book First?
If you’re feeling overwhelmed, focus on the vendors whose availability can affect everything else.
I generally recommend starting with:
Planner → Venue → Photographer → Caterer
Once those major pieces are in place, the rest of the vendor team becomes much easier to build around them.
A Final Planner Tip
Try not to book vendors simply because they are available or fit within the budget.
Your vendor team plays a huge role in how your wedding day actually feels. Look for professionals whose style, communication, experience, and personality align with what you want for your day.
A great vendor team should make the planning process easier, not add more stress or make your wedding feel like “just another work day”.
